These Terms and Conditions explain how our website works, how quotes, bookings and payments are handled, and what you can expect when you book an RU&CLAT experience.

These Terms and Conditions (the “Terms”) govern your use of the RU&CLAT website (the “Website”) and any inquiry, quote, booking or service provided by RU&CLAT Roaming Experiences.
By using the Website, submitting an inquiry or quote request, or booking our services, you agree to these Terms. If you do not agree, please do not use the Website or book our services.
Each confirmed booking is governed by a Service Agreement together with these Terms. The Service Agreement sets out the details of your event, such as services, schedule, pricing and payment terms.
If a signed RU&CLAT Service Agreement contains terms that conflict with these website Terms and Conditions, the signed Service Agreement will control for that booking.
These Terms do not replace our separate policies:

RU&CLAT Roaming Experiences (“RU&CLAT,” “we,” “us” or “our”) is operated by [BUSINESS LEGAL NAME], located at [BUSINESS ADDRESS].
RU&CLAT creates interactive event experiences, including roaming hostess service with wearable serving trays and on-site photography with printed and digital keepsakes.

RU&CLAT offers two primary categories of event services. The exact services, duration, staffing, quantities and deliverables for your event will be described in your quote and Service Agreement.
Our hostesses move throughout weddings, private parties, corporate events, graduations, birthdays and other celebrations using wearable serving trays to offer products, beverages, keepsakes or customized experiences directly to Guests. See the Roaming Experience Services section for details.

Your booking is confirmed only when both of the following have happened:
Until both steps are complete, your date is not reserved and may be offered to other clients.
Changes requested after your booking is confirmed, such as additional hours, services, Guests, products or locations, are subject to availability and may affect pricing. A change is confirmed only when we agree to it in writing.
If a signed Service Agreement conflicts with these Terms, the signed Service Agreement controls for that booking.

Prices are stated in your quote or Service Agreement. Applicable taxes will be added where required by law. Additional charges may apply for:
Any additional charge will be explained in your quote, Service Agreement or a written change confirmation before it is charged.

The specific cancellation, rescheduling and refund terms for your event are stated in your signed Service Agreement. Where the Service Agreement differs from these Terms, the Service Agreement controls.
Cancellations caused by events beyond reasonable control are addressed in the Force Majeure section.

Please inform us as early as possible about any significant change in timing, location, Guest count or event format. Changes are subject to availability and may affect pricing.
If the event or our service is delayed for reasons outside our control, such as a late ceremony, venue access delays or schedule changes by the Client or venue, how the booked service time is counted will be as described in your Service Agreement. Extending the service may be subject to overtime charges and staff availability.
If we start late for reasons within our control, we will make reasonable efforts to provide the full booked service time, subject to venue limits, or offer a fair adjustment under your Service Agreement.

We are committed to a respectful environment for our team and your Guests.

Our trays, printers, cameras and other equipment are an important part of the experience.
Section 20
Our hostesses move throughout the event using wearable serving trays to offer products, beverages, keepsakes and customized experiences directly to your Guests. The products, quantities, duration and service style for your event will be described in your Service Agreement.
Your Service Agreement will state which products, such as beverages, food items, keepsakes or customized items, are supplied by RU&CLAT and which are supplied by the Client. Quantities are limited to those included in your package unless additional quantities are agreed in writing.
If food products are offered, we will share available ingredient information on request. The Client is responsible for informing Guests where appropriate. We cannot guarantee that products are free from allergens.
Hostess attire, presentation and service style will follow the package selected or as agreed in writing.

Where included in your package, RU&CLAT may photograph Guests, take spontaneous or posed photos, print photos during the event, and create personalized photo keychains, other physical keepsakes and digital galleries.
Photos taken at your event are used to deliver the contracted service, such as:

Any Guest may decline to be photographed. Our team will respect a Guest’s request not to be photographed whenever reasonably possible.

If you have a concern about the quality of a deliverable, please contact us and we will review it in good faith.

Photos captured to deliver your service (instant prints, keychains, keepsakes and event galleries) are different from marketing use. These Terms alone do not grant RU&CLAT unlimited advertising or commercial rights to any Guest’s image or likeness.
Use of identifiable Guest photos or videos for advertising, our Website, social media, our portfolio or other commercial marketing will be handled through a separate Photo & Video Release or other appropriate consent.
A Client’s booking does not by itself mean that every Guest has consented to marketing use.
A Client’s booking does not authorize commercial or promotional use of a minor’s image. Where required, consent from a parent or legal guardian will be obtained separately.
Section 28
Neither RU&CLAT nor the Client will be responsible for failing to perform, or for delays in performing, obligations caused by events beyond reasonable control, such as:
Refunds are not automatic in every situation. The affected party will notify the other as soon as reasonably possible, and both parties will work together in good faith toward a reasonable solution, which may include:
The appropriate solution will depend on the signed Service Agreement, the services already provided or prepared, and the circumstances.

To the fullest extent permitted by law:
Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, including liability for gross negligence, willful misconduct, fraud, or personal injury caused by negligence. Nothing in these Terms limits rights you may have under applicable consumer protection laws.

To the extent permitted by law, the Client agrees to reimburse and hold RU&CLAT harmless from reasonable claims, losses and costs to the extent they are caused by:
This does not apply to claims caused by RU&CLAT’s own negligence, willful misconduct or breach of the Service Agreement.

We take great care with every event, but we cannot guarantee specific outcomes, such as the level of Guest participation, the number of images captured, particular photographs or moments, or the reaction of Guests. Examples, photos and past events shown on the Website illustrate our style and are not a promise of identical results.

Personal information collected through the Website and our services is handled as described in our separate Privacy Policy. Please review it to understand how we collect, use and protect personal information.

Where permitted by applicable law, quotes, Service Agreements, confirmations and consents may be completed electronically, including through:
Electronic records and signatures have the same effect as paper documents and handwritten signatures where the law allows.
We may send booking-related communications, such as quotes, confirmations, invoices and notices, by email or to the phone or WhatsApp number you provide. Please keep your contact information up to date.

If a concern arises, please contact us first at [email protected]. Both parties will try to resolve it informally and in good faith within [INFORMAL RESOLUTION PERIOD].
If a dispute cannot be resolved informally, it will be resolved through [DISPUTE RESOLUTION METHOD] in [COUNTY / VENUE], unless applicable law requires otherwise. Nothing in this section prevents either party from bringing a qualifying claim in small claims court.

If any part of these Terms is found to be invalid or unenforceable, the remaining parts will continue in full effect. The invalid part will be limited or modified only as much as needed to make it enforceable.
Our failure to enforce any part of these Terms is not a waiver of our right to enforce it later.

We may update these Terms from time to time. The updated version will be posted on this page with a new “Last Updated” date and will apply from that date.
Changes to these Terms will not alter the terms of a Service Agreement that has already been signed, unless both parties agree in writing.
